What is Inbox Zero?

Inbox Zero is an email management methodology presented by Merlin Mann at a Google Tech Talk in 2006. Its goal is not to have zero emails, but to spend zero mental energy worrying about your inbox. Treat email as a task queue, not a storage bin.

Definition

Inbox Zero is an email management method by Merlin Mann. Every email is immediately processed with one of five actions: Delete, Delegate, Respond, Defer, or Do. The inbox functions as a transient staging area, not a storage system. By treating email as a task queue and processing it in scheduled batches, you escape the cycle of constant notification-checking and regain control of your attention.

The Five Inbox Zero Actions

Apply one of these five actions to every email the moment you process it. The key rule: never choose "think about it later."

Delete
Delete or archive irrelevant emails immediately. Newsletters, notifications, and spam go straight to trash without hesitation.
Delegate
Forward emails that should be handled by someone else. After forwarding, apply a @Waiting label and archive.
Respond
If you can reply in under 2 minutes, do it immediately and archive. Keep responses brief.
Defer
For items requiring more time, label and defer. Add a task to your calendar and move the email out of the inbox.
Do
Tasks that must be done now get started immediately. Complete the action, archive the email, and keep the inbox clean.

Simple Memo and Inbox Zero Synergy

Memos sent via Simple Memo arrive in your email inbox. Under Inbox Zero principles, they are processed using the same five actions as any other email. This cleanly separates "capture" from "processing" — memos never pile up in your inbox but get routed to the right labels and folders. Simple Memo's ~1-second launch eliminates capture friction; Inbox Zero eliminates processing friction.

Example: Processing Memo Emails with Inbox Zero

Scenario

At 9 AM, you open your inbox and find 3 memos sent from Simple Memo last night.

Memo 1: "Print materials for tomorrow's meeting" → Do: Takes under 2 minutes, so send the print request now → Archive

Memo 2: "New project idea: AI chatbot" → Defer: Apply @Someday label and archive. Review at next planning meeting

Memo 3: "Expense report due next Friday" → Defer: Add to calendar, apply @Next label, archive

Processing time: 3 minutes. Inbox is back to zero.

FAQ: Inbox Zero

What is Inbox Zero?

Inbox Zero is an email management methodology by Merlin Mann (2006). Its goal is not zero emails, but zero mental energy spent on your inbox. Emails are processed immediately using five actions: delete, delegate, respond, defer, or do.

How does Simple Memo work with Inbox Zero?

Memos sent via Simple Memo arrive in your inbox. Using Inbox Zero's five actions, you process each memo immediately — archive it, label it for later, or act on it right away. This separates capture from processing, which is the key principle of Inbox Zero.

How often should I check my inbox for Inbox Zero?

Merlin Mann recommends checking at scheduled intervals — typically 2-3 times per day — rather than constant monitoring. Process everything to zero at each session. This batching reduces context switching and improves focus.
