Simple Memo and Reminders
Choose alerts or self-email
Consider Reminders for time/location alerts and shared lists, or Simple Memo for short notes you want to review in your email inbox. Reminders also has notes, tags and search: using it to capture an idea is a valid workflow.
Start with what happens after capture
For “review the draft tomorrow,” use a scheduled reminder. For “an idea for the draft’s diagram,” a separate Reminders list with a note or an email can both work. Decide whether you need an alert, completion tracking, and where you already review captured material.
This page uses Apple’s official documentation checked September 9, 2026 and Simple Memo’s supported workflow. The author develops Simple Memo. This is not a controlled speed comparison or a physical-device test of every feature.
Compare eight workflow conditions
| Use / condition | Simple Memo | Reminders |
|---|---|---|
| Review destination | Configured self-email; verify arrival in the inbox. | List items with details such as notes and URLs. |
| Time / location alerts | Email arrival is not treated as a scheduled-task alert. | Configure time/location alerts; check permissions and OS support. |
| Completion and review | Choose a workflow using the mail app’s labels, archive or similar tools. | Mark items complete and show completed items again. |
| Organization and search | Search delivered messages in the mail app. | Use lists, tags, Smart Lists and search. |
| Voice entry | Use supported voice input, review the text and send. | Ask Siri to add a reminder and check its text and schedule. |
| Working with others | A personal capture entry point, not shared-task assignment. | Share lists and assign items to participants. |
| Without a connection | Keep pending sends; after reconnecting, check retry and arrival in the app. | Test access to required items on the device; cross-device updates need a connection. |
| Cost and setup | See the pricing FAQ for free allowance and paid plans; set recipients/integrations. | Apple’s built-in app; some features require updated iCloud Reminders. |

Try capturing and finding a note in Reminders
- Create one private list such as “Ideas,” add a short title, and put context in its notes field.
- Schedule items that have a deadline or need an alert. Every idea does not need to become today’s task.
- If useful, add a small set of tags such as #idea and collect them with tag filtering or a Smart List.
- Later, search for part of the title. Check that you can also find an item placed in another list.
- Complete a test item and find it again with Show Completed. Treat completion and deletion as different actions.
This is a suggested fit check. Tags and Smart Lists apply to iCloud reminders/lists; some features are unavailable with other accounts. Check Smart List conditions.
Check the conditions for alerts
Location alerts need Location Services. For scheduled items, inspect the displayed time and notification settings. Urgent reminders in iOS 26.2 and later use a separate alarm setting: check iCloud Reminders, alarm permission and which device Find My uses as your location. For a shared family list, be aware of who can add, delete or complete items. Your reminder notifications are not automatically shared with everyone. Agree on ownership and check alert timing. Shared lists and notifications
Distinguish a Siri reminder from sending email
After asking Siri for a reminder, check its list, schedule and recognized text. Siri also supports email actions in Mail, so it would be incorrect to say that Siri cannot send email. Available commands depend on language, region and settings. Apple’s guide to email with Siri
For Simple Memo voice input or Apple Watch capture, try the full path through reviewing the text and finding it at the destination. This page does not rank Siri and Simple Memo by speed or recognition accuracy.
If your review habit is in email
Set your own recipient address, send one short test, and find the same text in the inbox. A pending-send status does not establish delivery. Follow the first-send and missing-mail checks.
At your normal email review, decide whether to act, keep the item as reference, or discard it. Give deadline-sensitive work a scheduled reminder instead of relying on email arrival alone. Start with a small example before moving a collection or deleting source lists.
