Memo Guide
A travel planning note separates possible places, confirmed bookings, packing tasks and observations on the trip. Start with one day, record the time zone and last check, and verify that essential information opens without a connection. Copy or download the itinerary and packing templates below.
Begin with departure and return dates, accommodation and confirmed times. Keep ideas separate from bookings, and retain a route back to official confirmations and transport information. Sending a note by email does not also download its attachments or maps for offline use.

Use four sections for travel notes

Place timed bookings first and fit optional stops around them. Mark travel times and costs as estimates, then check operating dates, schedules and meeting points with the transport operator or venue. On days that cross time zones, write “local time” and the city name.
Copy an itinerary or packing template
Fill the blanks for your trip. Keep booking identifiers and identity-document images out of the shared itinerary and store private details separately. The template is an organizational aid, not a list of entry or baggage rules.

Check email, attachments and maps separately offline
While connected, open the itinerary and required attachments on the device you will use. Then disconnect Wi-Fi and cellular data and open them again. Linked pages and cloud files may need separate downloads even when the email text is available.
Apple Maps supports area downloads on iOS 17 and later. Check regional availability and storage, and include the area you will travel through. Storage optimization can remove unused maps, so inspect the saved list before departure.

Google Maps also supports area downloads, but transit, walking and cycling directions are unavailable offline. Live traffic and alternative driving routes are unavailable too. For walking or rail travel, keep a separately accessible record of the route, transfers and address.

For international travel, confirm current destination guidance and emergency contacts with official sources. Japan’s Ministry of Foreign Affairs provides country information and consular contact links for Japanese travelers. Record when each contact was checked.
Five checks before departure
- The date, local time basis and update time are clear at the top.
- Bookings are distinct from ideas, with a route back to official updates.
- The device opens the itinerary, required attachments and maps offline.
- The shared version excludes personal details companions do not need.
- An owner and a location for the current version are agreed for changes.
With Simple Memo, check the text in your inbox or configured Obsidian location after sending. A pending Outbox note is different from a delivered itinerary. Check the three-sends-per-day free allowance and Premium feature conditions.
During the trip, record actual times, reasons for changes and photo references. After returning, assemble the records you want to keep. A sequence of emails is source material, not necessarily a finished travel diary; match it to photos and choose what to share.
